ANNUAL
W.O.A.A. SOFTBALL MEETING:
ROOKIE
THROUGH MIDGET TEAMS (BOYS AND GIRLS)
DATE: TUESDAY, MAY 10, 2005.
TIME: 7:30
P.M.
PLACE: WALKERTON ARENA (LOBBY),
WALKERTON, ONTARIO.
This
meeting will be a combined Annual and Scheduling Meeting. All teams present must be paid in advance
prior to the calling to order of this meeting.
A coach for each team must be in attendance with dates and
times of home games. If a team does not
have a representative present, the W.O.A.A. will not be held responsible for
the scheduling of that team's games.
ENTRY
FORMS:
Entry
forms for schedule teams must be returned to the W.O.A.A. Office, Box 110,
WINGHAM, Ontario. N0G 2W0, by MAY 1ST, 2005, so that tentative
groupings can be made for the Scheduling Meeting. If your team(s) play their schedule in a different league other
than W.O.A.A.; they are still eligible to compete in the W.O.A.A. Play-offs, by
entering as a "Bye Team".
Entry
forms for Bye Teams must be returned to the W.O.A.A. Office, Box 110, WINGHAM,
Ontario, N0G 2W0, by JUNE 1ST, 2005.
Enclosed
please find a copy of the proposed amendments to the W.O.A.A. Softball Manual
of Operations for your perusal prior to the Annual Meeting. These amendments will be voted on at the
W.O.A.A. Annual/Scheduling Softball Meeting.
We will also be discussing the amendments from the O.A.S.A. Annual
General Meeting. We will be setting up the W.O.A.A. Softball Program for 2005
and preparing the schedules for the regular schedule teams.

W.O.A.A. PRIVACY POLICY:
The use of personal
information in Canadian commercial activities is now protected by federal
legislation under the Personal Information Protection and Electronic
Documents Act (PIDEDA). This Act
applies to both traditional, paper-based business as well as on-line commercial
activities. In order to comply with
PIPEDA, the W.O.A.A. has adopted a Privacy Policy (this document is available
by contacting the W.O.A.A. Office). Furthermore,
the W.O.A.A. has adopted an “Opt-Out” provision for anyone who feels that they
do not want their personal information to be distributed to third parties. Although this will restrict the W.O.A.A
when compiling contact lists for example, this “Opt-Out” provision is at your
discretion and should you wish to exercise this option, please indicate so on
the 2005 entry form.

– DESIGNATED EMAIL:
Commencing the 2005
Softball season, the W.O.A.A. will be implementing email communication as our
primary way of forwarding and receiving data between the office, Softball
Chairman and Convenors to the Centre Contact Person. Each centre must designate
an email address that will be used by your Softball association.

WEB SITE:
In 2004, the W.O.A.A.
applied for and received an Ontario Trillium Foundation Grant to further
develop our Web Site www.woaa.on.ca. We have hired Spinner Studios to design our
Web Site which will soon launch with a whole new look and be much more
informative and user friendly One of
our aims, is for all sports scores to be keep posted by team contacts and
therefore the activity of all W.O.A.A.
sports programs will be kept more current.
We will be able to offer links to your associations and hopefully that
will help promote your local programs as well.
More information and instruction will be forthcoming as available.
CENTRE
CONTACTS:
The
W.O.A.A. will once again be dealing with only ONE person per centre. Be sure
that you list the person whom your centre wants in that position on the entry
forms. Enclosed is a brief description
of the duties of the Centre Contact.
Following this channel of command will alleviate problems for everyone.

COACHES/MANAGERS
INSURANCE:
The
W.O.A.A. will be offering an insurance package through O.A.S.A. It includes a 5 million dollar liability
coverage, 1 million dollar Directors and Officers Errors and Omissions
liability with accident and $5,000.00 dental coverage. It is mandatory that all W.O.A.A. schedule
teams have this coverage and Bye teams must provide proof of comparable
insurance coverage or else purchase the insurance offered by the W.O.A.A. Costs are the same as 2004; we are still
able to offer your teams coverage at $51.00 per team.
TOURNAMENTS:
Centres are encouraged to
bring their tournament information to the Annual Meeting and a table will be
set up to display this information. The
W.O.A.A. will also gladly post your tournament on our Web Site if the information
is email into our office.
Attached is a copy of the tournaments on file with
the W.O.A.A. at the time of this mailing.

2005 Softball Program will be handled by a Softball Committee but all
correspondence will be distributed out of the W.O.A.A. Office, Box 110,

PROGRAM:
Enclosed
please find the dates and times of the Softball Umpire Clinics for the 2005
season. Please distribute these so that
everyone interested in umpiring in your community will plan to attend. Please remember that all teams must
use W.O.A.A. Softball carded umpires for W.O.A.A. games.
If
your centre is interested in hosting an umpire clinic for 2006, please forward
a letter into the W.O.A.A. Office with tentative dates and we will keep it on
file for next season.

RULEBOOKS:
Just a reminder to all Town Contacts and Umpires that the
Softball Canada Rulebooks are now published only every other year. This year they issued the 2005 and 2006 rulebooks,
please note that this rulebook will still be valid for the 2006 season. Please pass them onto your 2005 teams.
TROPHIES:
Also, if a team in
your area won a championship last year, please return the trophy the night of
the Annual/Scheduling Meeting. Bye
teams are asked to mail the trophies directly back to the W.O.A.A. Office. Individual notices have been enclosed for
centres with trophies still out of the office to date.
ANNUAL GOLF TOURNAMENT:
The 3rd Annual Golf Tourney will
be held on Saturday, August 20, 2005 at the Goderich Sunset Golf Club, all
proceeds go to the W.O.A.A. Building Fund and Student Bursary Award. Attached please find further information and
a registration form. Your ball
association's support of this event would be most appreciated by the W.O.A.A.
